These Terms and Conditions (“Terms”) govern your use of services provided by Reward Estates II LLC, doing business as Hurd Creek Cabin Wedding Venue (“Reward Estates,” “we,” “our,” or “us”), including website use, inquiries, bookings, and events held at our property.
 

By using our website or booking our venue, you agree to these Terms.
 

1. Booking & Reservation Policy

• Event dates are reserved on a first-come, first-served basis.

• A date is only secured upon:

  • Signed contract, and

  • Receipt of the required deposit (typically 50%)

• Your Airbnb or VRBO lodging reservation alone does NOT secure your event date.

• Full payment is due according to the schedule outlined in your contract (typically 90 days prior to the event).

2. Lodging Requirement

• A minimum four (4) night stay at the property is required for weddings/events.

• Lodging must be booked separately through Airbnb or VRBO.

• Overnight occupancy is limited to 12 guests total (house + cabin).

3. Cancellation & Date Changes

Date Changes

• We will make reasonable efforts to accommodate date changes based on availability.

• Any non-refundable or non-transferable expenses are the responsibility of the Client.

Cancellation Policy

If a booking is canceled, the following applies:

• More than 12 months prior: 50% of initial deposit forfeited

• 12–6 months prior: 100% of initial deposit forfeited

• 6–3 months prior: 50% of remaining balance forfeited

• Less than 3 months prior: 100% of remaining balance forfeited

4. Event Use & Responsibilities

By booking with us, you agree:

• You are responsible for all guests, vendors, and invitees

• You are financially responsible for any damages to property or amenities

• All areas must be returned to their original condition

• All décor, rentals, and personal items must be removed by the agreed-upon time

5. Venue Rules & Restrictions

Key policies include:

• No smoking anywhere on the property

• No open flames or candles (battery-operated only)

• No fireworks, sparklers, confetti, balloons, or pyrotechnics

• Decorations must be freestanding or use approved materials only

• Guests must vacate by midnight, with events ending earlier per sound rules

Noise Restrictions

• Up to 75 dB until 7:00 PM

• Up to 60 dB after 7:00 PM

• Music must comply with local noise ordinances

6. Alcohol Policy

• Alcohol may be served but may NOT be sold

• No service to individuals under 21

• You are responsible for monitoring guest consumption

• We reserve the right to remove intoxicated or disruptive guests

7. Insurance Requirement

• Clients are required to obtain event liability insurance:

  • Minimum $2,000,000 coverage

  • Must include Host Liquor Liability

  • Reward Estates must be named as additionally insured

8. Vendors

• All vendors must:

  • Carry their own insurance

  • Follow venue rules and timelines

• Clients are responsible for communicating all venue requirements to vendors

• We are not liable for vendor performance or actions

9. Timing & Event Limits

• Setup may begin the day before (as agreed)

• Cleanup must be completed by 12:00 PM the day after the event

• Alcohol service must end by 9:00 PM (or within a 5-hour window)

• All non-overnight guests must leave by midnight on day of event
   

10. Additional Fees

Additional charges may apply for:

• Snow removal

• Septic system overload (if restroom rules are not followed)

• Damages or excessive cleaning

11. Liability & Indemnification

To the fullest extent permitted by law:

• Reward Estates is not responsible for injury, loss, theft, or damage to persons or property

• You agree to indemnify and hold harmless Reward Estates from claims arising from your event

• You assume full responsibility for guest and vendor conduct

12. Force Majeure

We are not liable for delays or cancellations due to events beyond our control, including:

• Weather

• Natural disasters

• Government restrictions

• Emergencies

In such cases, we may:

• Reschedule your event, or

• Issue refunds as outlined in your contract

13. Photography & Marketing

We reserve the right to use photos or media from events for marketing and promotional purposes.

14. Property & Wildlife

• Respect for the natural environment is required

• No disturbance to trees, wildlife, or landscape

• Trash must be secured properly (wildlife is active in the area)

15. Governing Law

• Contracts are governed by the State of Colorado

• Venue for disputes shall be Grand County, Colorado

16. Changes to Terms

We may update these Terms at any time. Continued use of our services constitutes acceptance of any updates.

By using our website or booking our services, you acknowledge that you have read and agree to these Terms and Conditions. Your signed venue rental agreement will always govern in the event of any conflict.
